Privacy Notice

This notice explains how Ginels Connect handles the personal data of alumni who ask to be listed in the directory, and of visitors who use it.

1. Who is responsible for your data

The data controller is Ruben Ibarra, who operates the Ginels Connect alumni directory. For any question or request about your personal data, write to privacy@ginels.com.

2. What data we collect

We only collect what you choose to send us through the Join form:

  • Full name and batch year at Ginels Dormitory
  • Profession or title, company (optional), professional category and services offered
  • Short professional bio and city
  • Email address and, optionally, phone number
  • Your preferred public contact detail (email, phone or a social/website link)
  • A profile photo, if you upload one
  • The date your submission was received and its review status

We do not use tracking or advertising cookies, and we do not build behavioural profiles of visitors.

3. Why we use it and on what legal basis

We publish a directory of Ginels alumni so that fellow alumni and the wider community can find and contact professionals from the Ginels family. The legal basis is your consent (Art. 6(1)(a) GDPR), which you give by ticking the consent box on the Join form. You may withdraw it at any time, and doing so does not affect the lawfulness of processing carried out before withdrawal.

Administrators also use your email address to contact you about your submission — for example to verify details or to tell you the outcome of the review.

4. What is published and what stays private

Only profiles approved by an administrator appear in the public directory. Published profiles may show your name, batch year, profession, category, services, bio, city, photo and the single contact detail you selected as public.

Your account email address and your phone number are never published unless you explicitly chose them as your public contact detail. They are visible only to the administrator.

5. How long we keep it

  • Approved profiles stay online until you ask us to remove them or withdraw your consent.
  • Rejected submissions and submissions that remain unreviewed are deleted within 90 days.

6. Who else can see the data

We do not sell or rent personal data. Data is stored on our hosting and database infrastructure providers, which act as processors on our behalf and may store data on servers inside and outside the European Economic Area under appropriate safeguards. Approved profile information is, by its nature, publicly visible on the internet.

7. Your rights

Under the GDPR you can ask us to give you a copy of your data, correct it, delete it, restrict or object to its use, or receive it in a portable format. You can also withdraw your consent at any time and lodge a complaint with your local data protection authority.

To exercise any of these rights — including having your profile removed from the directory — email privacy@ginels.com from the address you used to submit your profile. We respond within 30 days.

8. Security

Profile photos are held in private storage and served through short-lived signed links. Access to unpublished data and to private contact details is restricted to the administrator account, protected by password authentication.

9. Changes to this notice

We may update this notice as the directory evolves. Significant changes affecting how your data is used will be communicated by email to the address on your profile.
